We are seeking a highly efficient, tech-savvy Virtual Assistant to join our internal team. In this role, you will provide critical remote operational support—managing digital assets, updating platform data, and ensuring the backend administrative workflows for our online workshops and physical information days run seamlessly.
Key Responsibilities:
Digital Platform Updates: Maintain and update current international program data, scheduling timetables, and informational resources across our cloud systems.
Workshop Data Coordination: Track, sort, and organize registration data (Excel/Google Sheets) for upcoming digital workshops, ensuring attendee records are accurate.
Inbox & Notification Management: Monitor internal notification channels and secondary inbox folders, prioritizing urgent platform tasks and routing inquiries to the correct team members.
Document & Resource Preparation: Format, proofread, and organize digital guides, informational PDFs, and workshop presentation templates to ensure they remain polished and up to date.
Task Pipeline Management: Execute a daily checklist of digital tasks to ensure all backend operations remain completely optimized and synchronized across our platforms.
Requirements & Qualifications:
Virtual Assistant Experience: Proven experience as a Virtual Assistant, Remote Admin, or Data Coordinator managing digital workflows.
Advanced Tech Literacy: Exceptional proficiency navigating Google Workspace, Microsoft 365 (specifically Excel/Sheets, Word, and Outlook), and cloud storage tools.
Acute Attention to Detail: A natural talent for data precision and catching administrative errors before workflows are impacted.
Professional Communication: Excellent written English skills, with the ability to maintain a clear, polished, and structured corporate tone in all internal coordination.
Location: Must be based in the Cape Town region to maintain alignment with our local head office operations and event timelines.
